What this does for you

It answers your phone. Day, night, weekends. It speaks in your business's voice, answers questions about your business, takes messages, books appointments into your real calendar, and passes urgent callers to a human. A receptionist costs around $3,000 a month; this costs a few cents a minute.

What you need first

  • An Anthropic API key (5 min)
  • A Vapi account — Vapi is the company that handles the actual phone line and the voice. You sign up yourself and pay them directly. (10 min. About 5–15 cents per minute of calls, plus about $2/month for the phone number. Hi5Agents takes none of this.)
  • ConciergeSched already working — only if you want it to book appointments (see guide 5)
  • A phone number to transfer urgent calls to — yours or a colleague's

Step by step

    Anthropic key (5 min)

    Settings → API Keys → paste → Test.

    Sign up with Vapi (10 min)

    Go to vapi.ai and create an account. They give you free credits to start. Find "API Keys" and copy the private key (not the public one). Paste it into Hi5Agents → RingPilot → Requirements → Vapi. Click Test. Be clear on cost: every minute your phone agent talks, Vapi bills your card. A business getting 300 minutes of calls a month pays roughly $15–45.

    Tell it how to behave (10 min)

    In RingPilot → Settings: - Greeting: exactly what it says when it picks up. ("Thank you for calling [your business], how can I help?") - Voice: pick one and listen to the sample. - Never discuss: list the things it must refuse — prices you negotiate, legal questions, medical advice. It will politely offer to take a message instead. - Transfer number: where urgent callers go. - Maximum call length: a safety cap so a stuck call can't run up a bill. Click Save & push — this sends your settings to Vapi. Nothing takes effect until you do.

    Get a phone number (3 min)

    In RingPilot → Settings → phone number → choose an area code → buy. It's about $2/month on your Vapi account.

    CALL IT. This is the most important step. (10 min)

    Ring the number from your own phone and try four things: 1. Ask something your business obviously answers ("What time do you close?") — it should answer correctly. 2. Ask something it can't know ("What's your best price on a bulk order?") — it should honestly say it doesn't have that and offer to take a message. If it makes up an answer, stop and fix your Knowledge before going live. 3. Say "Can I leave a message?" — check the message appears in Hi5Agents with your name and number correct. 4. Say "I need to speak to a human" — check it tries to transfer.

    Send your real calls to it (5 min)

    You don't need to change your business number. Call your phone provider (or use their app) and set up call forwarding from your real number to your RingPilot number — either always, or only when you don't answer, or only after hours. Most providers let you choose.

Your first real result

A customer calls at 8pm on a Sunday, gets a real answer, and books an appointment for Tuesday. You find out about it Monday morning.

How to get the best out of it

  • Start with after-hours forwarding only. Let it prove itself on the calls you'd otherwise miss entirely, then widen it.
  • Read the transcripts for the first two weeks. You'll hear exactly which questions it fumbles, and adding those to Knowledge fixes them.
  • Keep the "never discuss" list honest — anything involving money you negotiate, or promises, belongs with a human.
  • Connect ConciergeSched. A receptionist that books appointments is worth far more than one that takes messages.
  • Watch the review flags — RingPilot checks its own calls and marks any where it might have said something it couldn't back up.
  • Don't leave the maximum call length off. It's your protection against a surprise bill.

Setup guide

    Sign up for Anthropic at console.anthropic.com. Create an API key and paste it into Hi5Agents → Settings → Providers → Anthropic.

    Test the setup. Call your new number from your mobile phone. The AI should answer. Try saying 'I want to book a meeting' and confirm the appointment appears in your calendar.

Daily usage

  • Check new inbound calls

    Open Hi5Agents → RingPilot → Call Log. Each call shows caller ID, transcript, intent, and any action taken (booked, forwarded, voicemail).

  • Launch an outbound qualification campaign

    Upload a CSV of leads to RingPilot → Outbound. The AI calls each one, asks qualifying questions, and tags hot leads for you to follow up.

  • Review voicemail summaries

    Any missed or after-hours call is transcribed and summarized. You see the gist in seconds instead of listening to a recording.

  • Route urgent calls to your cell

    In RingPilot → Settings, add your mobile number as the escalation target. When the AI detects urgency or confusion, it transfers the call live.

Honest limitations

  • Requires your own Vapi account and API key — we do not resell voice minutes.
  • Call quality depends on Vapi's providers; SIP-trunk hand-offs to your existing PBX are not supported.
  • Emergency-service calls (911, 999) must be routed to a human — the AI will not attempt to handle them.
  • Recording legality varies by state and country; you are responsible for your consent flow and local laws.
  • The AI cannot handle every edge case. Complex technical-support calls or angry-customer de-escalation may still need a human.
  • Outbound campaigns require your leads list in CSV format. The AI does not scrape contacts or guess phone numbers.

Safety & approvals

Vapi approval is instant — you sign up, add credit, and start calling. No waiting period. You must comply with call-recording laws in your jurisdiction (one-party vs. two-party consent). RingPilot automatically announces recording when required by your settings, but you own the legal responsibility. Emergency calls (911, 999) are always escalated to a human.

FAQs

Do I need a special phone number, or can I port my existing business line?

You can provision a new number from Vapi in seconds, or port an existing number. Porting takes a few days and involves paperwork with your current carrier. Check Vapi's porting guide for details.

What happens if the AI does not understand a caller?

RingPilot will ask clarifying questions. If it still cannot help, it offers to take a message or transfer to your escalation number. You see the transcript either way.

Can I customize the AI's voice and script?

Yes. In RingPilot → Settings you choose voice gender, accent, and speaking speed. You also write a custom greeting and adjust the qualification questions.

How do I stop paying for Vapi minutes when I am on vacation?

Pause RingPilot in your Hi5Agents dashboard. Calls will go to a simple voicemail. You still pay Vapi's phone-number rental (~$2/mo) but no per-minute charges.

Does this work outside the United States?

Vapi supports phone numbers in many countries. Check vapi.ai for the current list. Recording-consent rules vary by country — you must configure RingPilot to comply with local law.

Troubleshooting

Calls go straight to a fast-busy signal or 'number not in service' message.

Likely cause: Your Vapi account has run out of credit or the phone number was not provisioned correctly.

Fix: Log in to vapi.ai and check your balance. Add credit if needed. Verify the phone number shows as active in the Vapi dashboard.

The AI answers but sounds robotic or cuts out mid-sentence.

Likely cause: Vapi is experiencing latency or your Anthropic API key is hitting rate limits.

Fix: Check status.vapi.ai for outages. If Anthropic is rate-limited, upgrade your Anthropic account tier or reduce concurrent call volume.

Appointments are not appearing in my calendar.

Likely cause: ConciergeSched is not installed or your calendar connection expired.

Fix: Go to Hi5Agents → Agents → ConciergeSched. Reconnect your Google or Microsoft account. Test by manually creating an appointment in RingPilot.

The AI keeps asking the same question over and over.

Likely cause: Anthropic API errors or a misconfigured intent-recognition prompt.

Fix: Check Hi5Agents → RingPilot → Logs for red error messages. If you see 'overloaded' or 'timeout', wait a few minutes and try again. If the problem persists, contact Hi5Agents support to review your prompt configuration.
