ColdReach
Cold email sequences
Overview
- What it does
- ColdReach sends multi-step cold email sequences through your own connected mailboxes. It personalizes each message using the prospect's recent activity and your value proposition, handles replies, books meetings on your calendar, and A/B tests sequences. Built-in deliverability protection includes warmup, daily send caps, and send windows.
- Who it's for
- Sales teams and founders doing cold outreach who need to scale personalized email and LinkedIn DM campaigns without destroying their sending reputation.
- What it replaces
- Manual cold email follow-ups, generic batch-and-blast tools, and separate warmup services. Replaces piecing together a scraper, a writer, a scheduler, and a reply tracker.
How it works
- 1Connect a dedicated cold-outreach mailbox
You connect a mailbox used only for cold outreach—never your transactional domain. ColdReach supports Gmail, Google Workspace, or any SMTP mailbox.
- 2Warmup ramp
ColdReach warms the mailbox on a gradual schedule over 2 to 4 weeks. This builds sender reputation so your emails reach inboxes instead of spam folders.
- 3Provide a target list
You upload a list of prospects. Many users pull this list from ProspectorX or another lead source.
- 4Send sequences with deliverability protection
ColdReach sends your multi-step sequence with per-day caps and send windows. It tracks replies, auto-pauses on bounces, and drafts personalized variations using AI. Replies are handled automatically for common objections, and qualified leads are offered meeting slots from your calendar.
- 5A/B test and auto-promote winners
ColdReach runs sequence A/B tests and automatically promotes the best-performing variant to maximize conversion.
What you'll need
ColdReach is available starting on the Growth tier.
How to get it
- Upgrade your Hi5Agents account to Growth in billing settings
ColdReach uses Claude to personalize email copy, draft sequence variations, and handle reply classification. Billed by Anthropic to you—Hi5Agents takes no cut.
How to get it
- Sign up at console.anthropic.com
- Generate an API key
- Paste the key into Hi5Agents settings
ColdReach never uses your transactional email domain. Cold outreach on a transactional domain destroys deliverability. You must connect a separate mailbox dedicated to cold outreach.
How to get it
- Create a new Gmail or Google Workspace account, or configure an SMTP mailbox
- Do not use the same domain as your Resend or other transactional email sender
- Connect the mailbox in ColdReach settings

The isolated cold-outbound stack — kept off your primary domain by design.
Simple setup
What this does for you
ColdReach emails people who've never heard of you — potential customers — with a message written specifically for them, and follows up automatically until they reply. Read this first, honestly. Cold email is the one agent that can damage your business if rushed. If you blast strangers from your normal company email, email providers mark your domain as a spammer — and then your invoices, order confirmations, and replies to real customers start landing in spam too. That damage is slow to undo. So ColdReach is built to protect you: it sends from a separate domain, and it starts slowly on purpose. You cannot skip the warmup. Anyone promising you 1,000 cold emails on day one is selling you damage.
What you need first
- An Anthropic API key (5 min, ~$5–15/month)
- A second domain name, similar to your main one — if you're bakery.com, buy trybakery.com or bakery-team.com (10 min, about $10–15/year)
- 1–3 mailboxes on that new domain (Google Workspace or Microsoft, about $6–8 per mailbox per month)
- An app password for each mailbox (10 min — a special password that lets ColdReach send; Hi5Agents shows you where to find it)
- A list of people to contact — from ProspectorX, or your own CSV
- 2–4 weeks of patience for warmup
Flowchart
Step by step
- 1
Anthropic key (5 min)
Settings → API Keys → paste → Test.
- 2
Buy your separate domain (10 min)
Buy a domain that looks related to yours but isn't it. This is the domain that takes the risk, not your main one.
- 3
Create mailboxes (15 min)
Set up 1–3 real mailboxes on that domain through Google Workspace or Microsoft 365. Use real-looking names — sarah@trybakery.com, not sales@.
- 4
DNS for the new domain (15 min + waiting)
Add the SPF, DKIM and DMARC records your mail provider gives you. Hi5Agents shows you exactly what's needed and checks them for you. This tells the world your new domain is legitimate.
- 5
App passwords (10 min)
Each mailbox needs an "app password" — a special password just for ColdReach, separate from your login. Your mail provider has a settings page for this; Hi5Agents links you to it. Paste each one into ColdReach → Requirements.
- 6
START THE WARMUP AND WAIT (2–4 weeks)
Turn warmup on. ColdReach sends a small number of emails a day and slowly increases. This teaches email providers that your new domain is a real business, not a spam machine. Do not skip this. Do not raise the volume manually. The waiting is the work.
- 7
Load your list (5 min)
Import a CSV, or push prospects across from ProspectorX. More detail per person means better personalisation.
- 8
Write your sequence (20 min)
Two or three emails: the first ask, then a gentle follow-up, then a final one. ColdReach writes a personalised opening line for each person from their real details. Read ten of those opening lines before you send. If they sound generic, your prospect data is too thin.
- 9
Test on yourself (5 min)
Send the sequence to your own address first. Check it arrives in the inbox, reads like a human wrote it, and the unsubscribe link works.
- 10
Start small (ongoing)
Begin at low daily volume. Watch what comes back. ColdReach stops the sequence for anyone who replies, and sorts replies into interested, not interested, out of office, or unsubscribe.
Your first real result
A reply from someone who'd never heard of you, saying "actually, tell me more." That single reply is worth more than the volume.
How to get the best out of it
- →Quality of list beats size, always. Fifty well-chosen prospects beat five thousand random ones.
- →Read the personalised first lines every week. They're the difference between a reply and a delete.
- →Keep it short. Three sentences and a clear question outperforms a sales letter.
- →Reply to interested people yourself, fast. The robot's job ended when they answered.
- →Never import a purchased list. It's the fastest way to burn the domain you just paid to warm up.
- →Never point ColdReach at your main company domain. That's exactly what the separate domain exists to prevent.
If something goes wrong
| Problem | What it means | What to do |
|---|---|---|
| Everything goes to spam | Warmup was rushed, or DNS is wrong | Stop sending. Recheck DNS. Restart warmup. |
| Almost no replies | Weak list or weak message | Improve targeting before increasing volume |
| "Sending limit reached" | Warmup cap protecting you | This is correct. Wait. |
| Someone complained | Your targeting was off | Remove that segment; suppression is permanent and should be |

Best for
- →Cold outbound sequences with warm-first-line personalization
- →Multi-step cadences (email 1 → follow-up → break) with reply detection
- →Testing subject/first-line variants to find the actual opener that lands
Setup for success
- •Use a dedicated warmed mailbox — never send cold from your main domain
- •Set daily send caps well below inbox provider limits — cold ≠ fast
- •Feed real personalization data (recent trigger, mutual, article) — 'Hi {name}' is not personalization
Power moves
- 1Push ProspectorX-enriched leads directly into ColdReach with the warm first-line already generated
- 2Detect replies with ChatDesk to auto-triage 'interested' vs 'unsubscribe' vs 'wrong person'
- 3Book positive replies into ConciergeSched with the actual meeting link, not a Calendly-later loop
- 4Feed ColdReach's reply-rate data to Spyglass — the segments that actually reply become your ICP evidence
Pair with
Watch for
- Blacklisting your primary domain
Avoid: Send from a separate warmed domain only — never your transactional one
- Compliance issues in EU/CA
Avoid: Honor CAN-SPAM/GDPR: real physical address, easy unsubscribe, no scraped emails without lawful basis
Costs
- Cold-outreach mailbox: free for Gmail; Google Workspace from $6 per user per month; SMTP hosting varies by provider
Honest limitations
- •ColdReach does not use your transactional email provider or domain. Cold outreach on a transactional domain destroys deliverability. You must connect a separate mailbox.
- •Warmup takes 2 to 4 weeks on a fresh mailbox. There is no shortcut. You cannot skip warmup and expect good inbox placement.
- •ColdReach cannot guarantee inbox placement. Spam filters are opaque and controlled by email providers. Even with warmup, some emails will land in spam.
- •ColdReach is not for GDPR or CAN-SPAM restricted audiences without your own legal basis. We do not check consent lists or verify compliance for you.
- •ColdReach enforces per-mailbox daily send caps regardless of your plan tier. These caps protect your deliverability and cannot be overridden.
- •ColdReach will not send emails without an opt-out footer. Every email includes an unsubscribe link.
- •ColdReach will not send through your transactional domain, even if you configure one. This is a hard block to protect your sending reputation.
Safety & approvals
The first send from a new mailbox is held for your review. You must approve the draft before ColdReach releases the sequence. After that, ColdReach sends automatically within your configured daily caps and send windows. It auto-pauses on high bounce rates to protect your sender reputation.
